Wedding Planning Step by Step — 2026 Timeline

Where to start wedding planning? A practical 12–18 month timeline: date, budget, venue, guests and key deadlines without chaos.

Wedding planning in Poland usually takes 12–18 months — and contrary to appearances, the hardest part isn't the date or venue, but getting the order right. The earlier you set foundations: date, budget and guest list, the calmer the final weeks. Below is a step-by-step timeline based on industry practice and couples planning on their own.

18–12 months before: foundations

This is the stage of the biggest decisions. Popular wedding venues in season (May–September) are booked up to 18 months ahead. Without venue and date it's hard to set the rest of the timeline.

  1. Agree on wedding vision: size, style, priorities (venue vs. photographer vs. music).
  2. Set total budget and cost split — who pays for what.
  3. Create preliminary guest list (estimated count drives venue and catering).
  4. Book wedding venue and key vendors: photographer, DJ or band, coordinator (if needed).
  5. Start collecting inspiration: dress, flowers, décor — but don't rush purchases.

12–6 months before: style and vendors

Second stage is visual and logistical details. Book remaining vendors and refine budget ongoing.

  • Dress and suit — fittings and orders.
  • Florist, decorator, wedding cake.
  • Transport, accommodation for distant guests.
  • Rings, invitations (design), wedding menu with catering.
  • Budget update after every deposit — so overruns don't surprise you.

6–3 months before: invitations and RSVP

Key moment: send invitations and collect confirmations. Confirmed guest count drives menu, table layout and final budget. Recommended RSVP deadline: 4–6 weeks before wedding; send invitations 2–3 months earlier.

  • Send invitations (traditional or digital with RSVP link).
  • Track confirmations ongoing — don't wait until the last day.
  • Close guest list after RSVP deadline.
  • Give caterer portion count, diets and allergies.

1–2 months before: tables, details, confirmations

When the guest list is closed, time for seating plan, place cards and final venue arrangements. Plan for venue staff should reach the manager 3–5 days before the wedding.

  • Prepare guest seating (with rules: who with whom, who apart).
  • Order place cards, seating chart at entrance.
  • Confirm times and addresses with all vendors.
  • Prepare wedding day timeline (every 15–30 minutes).

How not to drown in details?

Hundreds of tasks in your head, Excel and phone notes is a recipe for chaos. Couples who plan effectively keep one place for guest list, budget, tasks and seating — and update regularly, not only before the wedding.

Week and wedding day — what not to forget

  • Send seating plan and diet list to venue 3–5 days before the wedding.
  • Wedding emergency kit, tip envelopes, charged phones.
  • Day timeline in best men's hands — you don't have to coordinate everything.
  • Time buffer for makeup and travel — something always takes 20 minutes longer.
